This Privacy Policy sets out our commitment to protecting the privacy of personal information provided to us, or collected by us, when interacting with you through our Shopify application, AI Product Search.

• Contact Data including your email address, as provided by Shopify when you install our application.
• Store Data including your Shopify store name, domain, and product catalog information necessary to provide the search service.
• Transaction Data including details of your subscription plan and billing status, managed entirely through Shopify's billing system.
• Technical and Usage Data when you access our application, details about your internet protocol (IP) address, browser session, device information, statistics on page views and sessions, and access and use of our application (including through the use of cookies or analytics).
• Chat Data including customer search queries and AI-generated responses processed through our application on your storefront.
• API Credentials including your OpenAI API key, which is encrypted at rest using AES-256-GCM and used solely to provide the AI search service on your behalf.

We do not collect:

• Bank account or payment card details (all billing is handled by Shopify)
• Age, profession, or demographic information
• Sensitive information such as racial or ethnic origin, political opinions, religion, health information, or biometric data

How We Collect Personal Information

We collect personal information in the following ways:

• when you install our Shopify application, Shopify provides us with your store information and contact email;
• when you configure the application, including providing your OpenAI API key;
• when your customers interact with the AI search widget on your storefront;
• when you use the application dashboard within the Shopify admin; and
• automatically through technical means such as cookies and analytics when you access our application.

Why We Collect, Hold, Use and Disclose Personal Information

We collect, hold, use and disclose your personal information for the following purposes:

• to provide and operate the AI Product Search service, including syncing your product catalog and serving AI-powered search to your customers;
• to manage your subscription and enforce plan limits;
• to contact and communicate with you about our service, including in response to support requests or service updates;
• to notify you of changes to our service, pricing, or terms;
• for analytics and service improvement, including understanding how merchants use the application;
• for internal record keeping and administrative purposes; and
• to comply with our legal obligations or if otherwise required or authorised by law.

We do not use your information for advertising or marketing purposes unrelated to our service.

Our Disclosures of Personal Information to Third Parties

We will only disclose personal information to third parties where it is necessary to provide our service, where we have your consent, or where permitted by law. This means that we may disclose personal information to:

• Shopify — as required by the Shopify platform for app installation, billing, and authentication;
• OpenAI — product catalog data is sent to OpenAI's API to generate search embeddings and AI responses, using your own API key;
• our employees, contractors and/or related entities;
• IT service providers, data storage, web-hosting and server providers;
• professional advisors, auditors and insurers;
• courts, tribunals, regulatory authorities and law enforcement officers, as required or authorised by law; and
• any other third parties as required or permitted by law.

Data Storage and Overseas Disclosure

Your store data, product catalog, and chat history are stored on servers located in Europe (Germany). Your product data is also processed by OpenAI's API (United States) for embedding generation and AI search responses.

We will only disclose your personal information overseas in accordance with the Australian Privacy Principles.

Your Rights and Controlling Your Personal Information

Your choice: Please read this Privacy Policy carefully. If you provide personal information to us, you understand we will collect, hold, use and disclose your personal information in accordance with this Privacy Policy.

Data deletion: You may uninstall the application at any time through the Shopify admin. Upon uninstallation, your store is marked as inactive. You may request complete deletion of all your data, including product catalog, chat history, and configuration, by contacting us using the details below.

Restrict and unsubscribe: To opt-out of service communications, please contact us using the details below.

Access: You may request access to the personal information that we hold about you by contacting us using the details below.

Correction: If you believe that any information we hold about you is inaccurate, out of date, incomplete, irrelevant or misleading, please contact us using the details below. We will take reasonable steps to promptly correct any information found to be inaccurate.

Complaints: If you wish to make a complaint, please contact us using the details below and provide us with full details of the complaint. We will promptly investigate your complaint and respond to you in writing. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner.

Storage and Security

We are committed to ensuring that the personal information we collect is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable technical and organisational measures, including:

• encryption of API keys at rest using AES-256-GCM;
• HTTPS encryption for all data in transit;
• access controls and authentication through Shopify's OAuth system; and
• regular security reviews of our application and infrastructure.

While we are committed to security, we cannot guarantee the security of any information that is transmitted to or by us over the Internet. The transmission and exchange of information is carried out at your own risk.

Cookies

We may use cookies within our application to store your preferences and session information. Cookies, by themselves, do not tell us your email address or other personally identifiable information.
